What are the most common payroll mistakes?

Doing payroll can be quite a tricky process for employers. With so many factors going into the process, it can be easy to make an error.

It is important that employers understand that every payroll error affects a person. A late or missed payment could mean that somebody can’t pay their mortgage or can’t put food on the table for their family.

Additionally, if errors repeat themselves, it can quickly escalate into compliance risks, which result in penalties and cause reputational damage to businesses.

Employers need to understand what some of the most common mistakes are during the payroll process so that they know how to avoid them.

Misclassifying employees

One of the most common payroll mistakes is incorrectly classifying workers.

Employers may mistakenly treat someone as a self-employed contractor when they should be on the payroll as an employee or assign the wrong employment status altogether.

This can lead to issues with tax, National Insurance contributions and employment rights.

For businesses engaging contractors, it’s also important to consider whether the IR35 off-payroll working rules apply.

If a contractor is working in a way that would make them an employee if engaged directly, the business may be responsible for assessing their status and ensuring the correct tax and National Insurance contributions are paid.

To avoid these issues, employers should regularly review worker classifications, assess whether IR35 applies where relevant and ensure they meet HMRC requirements.

Miscalculating pay

Payroll calculations involve much more than simply paying an employee’s salary.

Overtime, bonuses, commissions, statutory payments and deductions all need to be factored in accurately.

Even small calculation errors can result in employees being overpaid or underpaid, creating financial difficulties for staff and administrative headaches for employers.

Using reliable payroll software and carrying out regular checks can help reduce the risk of mistakes.

Failure to file tax documents correctly

Payroll teams are responsible for submitting accurate information to HMRC within strict deadlines.

Errors in tax codes, PAYE submissions or employee records can lead to penalties and additional scrutiny from HMRC.

Employers should regularly audit payroll data and ensure all reporting requirements are met to maintain compliance and avoid unnecessary fines

Overlooking pensions

Workplace pension obligations are another area where payroll mistakes can occur.

Failing to enrol eligible employees, making incorrect contribution calculations or missing contribution payments can all cause compliance issues.

If an employee is over the age of 22 and earns over £10,000 a year, they should be enrolled into a pension scheme.

A total of eight per cent of an employee’s salary should be contributed to a pension scheme. Typically, an employee pays five per cent and an employer pays three per cent.

Keeping pension information up to date and ensuring payroll systems are aligned with pension schemes can help employers meet their obligations and avoid costly errors.

Inaccurate holiday pay

Calculating holiday pay can be more complicated than many employers realise, particularly for workers with variable hours or fluctuating pay.

Failing to include National Minimum Wage when calculating holiday entitlement can lead to underpayments and employee complaints.

Employers should review holiday pay calculations regularly to ensure they reflect current legislation and employee working patterns

Difficulty with record keeping

Accurate payroll records are essential for both compliance and day-to-day payroll management.

Missing, incomplete or outdated records can make it difficult to process payroll correctly and respond to queries from employees or HMRC.

Maintaining organised records of pay, deductions, tax information and employee details can help employers reduce errors and demonstrate compliance when required.
