How travel firms can keep financial records ATOL- and ABTA-ready

For travel firms, compliance problems may begin long before a regulator flags an issue.

A firm’s financial system might be creating issues in the background if those in charge of the figures do not notice mistakes unfolding.

As such, it is vital that the correct approach is taken for financial records to ensure that you meet both Air Travel Organiser’s Licence (ATOL) and ABTA requirements.

What are the main mistakes made when keeping financial records?

The first recurring problem that many travel firms face is failing to distinguish licensable revenue from non-licensable revenue.

Flight-inclusive packages, accommodation-only sales, linked travel arrangements and other products may need to be treated differently.

If the chart of accounts is too broad, or staff are left to make judgement calls without clear coding rules, the figures submitted for ATOL reporting can become unreliable.

Price transparency is another area where travel firms might struggle to meet their obligations.

ABTA’s Code and guidance place strong emphasis on accurate information before booking and on advertising that does not mislead customers.

If compulsory taxes, resort fees or booking charges are revealed too far into the booking process for a customer to make a reasonable decision based on their inclusion, then this creates a notable issue.

Reputational damage and compliance breaches can occur when customers feel they have been misled as to the value of the package they are attempting to purchase.

This can be further compounded if financial records inadequately allow for this transparent pricing by obscuring how much everything should cost even to those working in the firm.

Firms may also face issues when packages are confused with linked travel arrangements.

Misclassification may mean that customer funds are not protected under the correct legal framework and that the sale is recorded incorrectly on the financial records.

How do travel firms integrate compliance into finance systems?

One of the best ways to avoid issues is to ensure that booking platforms are connected to accounting software wherever possible.

Each booking should show the product type, departure date, customer payment status, supplier liability and whether the sale is ATOL-licensable. This makes it easier for the finance team to understand the firm’s position and reduces the risk of manual errors.

The chart of accounts should also separate licensable and non-licensable income, customer deposits, supplier payments, refunds, cancellations and any ancillary sales. Where VAT or margin scheme rules apply, these should be reviewed regularly and supported by clear records.

Why does an audit trail matter?

A good audit trail should show what was sold, how it was advertised, what the customer was told and how the funds moved through the business.

Firms should retain booking confirmations, ATOL certificates, invoices, refund calculations, customer communications and supplier terms in a structured location linked to the booking reference.

Marketing should be checked in the same way. Websites, emails, social media campaigns and influencer posts should be reviewed to ensure that prices are clear and protection wording is visible.

How can firms keep this under control?

Regular reconciliations are vital. Customer deposits should be checked against booking records, supplier liabilities should be matched to expected departure obligations and licensable sales should be compared with the figures used for ATOL submissions.

Staff training is also important. Sales teams need to understand the difference between a package, a flight-inclusive package and a linked travel arrangement, while marketing and customer service teams need to know when protection wording and complaint deadlines apply.

By putting these controls in place, travel firms can make compliance part of their daily processes rather than something that is only considered during renewal season.
